Attachments up to 10 MB now upload reliably from the application form and the student portal. Larger photos of documents used to fail quietly on the way in; files now go straight to secure storage, and if one ever cannot be uploaded, the confirmation screen says so instead of staying silent.

Staff can enter students by hand, browse any past program year, and comments appear the moment you post them.
The Color Scheme picker in Settings is rebuilt. Every option now restyles the whole portal, sidebar included, on a matched palette instead of just recoloring buttons, so the non-indigo choices finally look designed. Pick from ten presets or open Customize to choose your own brand color, page tone, and sidebar style, with a live preview and readable text guaranteed.
We removed a stated APR due date that was not correct. Your report is ready whenever your program files; TRIOPilot never assumes a filing calendar for you.
Applicants can now choose their advisor on the application. In the Application Builder, set a multiple choice question's Maps to field to Assigned Advisor and pick the advisor behind each option. The option wording stays exactly as you wrote it, a No Preference option leaves the choice to the program, and the chosen advisor lands on the new student's profile the moment the application arrives.
Get an email when a new application comes in. The Notifications card in Settings has a new template for staff alerts with a list of recipient addresses, so a shared intake inbox or a director can be notified even without a TRIOPilot login. Edit the wording in the template editor like any other email.
The in-app alert for new applications now fires for every public submission. It had only been working for applications entered by staff.
Signing in now uses a one-time code only. The email you get has an 8-digit code to type on the sign-in page and no link to click. Some colleges run email security that opens every link before you can, which is why sign-in links kept showing as already used or expired. Codes cannot be used up that way. If a code stops working, choose Send a new code.
The Students page loads about 60 percent lighter, so it opens and responds faster, especially on slower connections. Search, tabs, and every column work exactly as before.
The APR report and Settings pages now show a loading screen the moment you click, instead of appearing frozen while the page prepares. The dashboard, roster, and student profiles already worked this way.
The Entry Year column on the Students page now shows the program year a student entered, such as PY 15-16, instead of a bare calendar year. The student profile shows the same label.
On the admin dashboard, the View all link under Pending Applications now opens the Students page on the same program year the dashboard is showing. Before, it always opened the current year, so with the dashboard set to a past year it looked like nothing happened.
Admins can now choose which emails the program sends. A Notifications card at the top of the Emails tab in Settings lists the application receipt, the advisor assignment and booking notices, and the student booking confirmations, each with a switch. Everything stays on unless you turn it off.
Admins can now log an event on behalf of the advisor who ran it. A Hosted by field on the event form attributes every contact from the event to that advisor, while the audit log still records who entered it. The Events page shows the host and, when they differ, who logged it.
Logged a contact wrong? You can now fix it. A pencil on the contact in the student's Activity Feed lets you change the type, modality, date, or notes, and the entry is marked as edited. Advisors can fix their own contacts; admins can fix anyone's, and can change who may do what on the Team tab in Settings.
A student profile now opens on the most recent program year that student has a record in. Before, a student who had not yet been carried into the new year opened on an empty year, which made their contacts look like they had not been saved.
Advisors can now connect their Outlook calendar. Once connected, Outlook meetings count as busy time so students cannot book over them, every appointment lands on the advisor's Outlook calendar with the student invited, and online appointments can carry a Teams link. Find it on the Schedule page. This needs a one-time setup by TRIOPilot before it appears.
Staff can now add a student by hand from a paper application. An Add New Student button on the roster opens the same intake form for you to fill in, no online submission needed.
A Program Year picker on the student roster lets you view students from any previous year, not just the current one.
Finding a student from any year is now one step: set the roster's Program Year picker to All Years and the search box looks through your whole history, with results shown 50 at a time.
What you type in the roster search box now stays put when you switch program years, so you can walk one name across the years without retyping it. When nobody matches in the year you are viewing, the empty list offers a one-click Search all years for that name.
The AI assistant can now search your whole history. Ask "was Maria Lopez ever one of our students?" and it checks every program year, telling you which years each match was enrolled in. Ask for a roster link across all years and it hands you one.
On the Add New Student form, the reCAPTCHA badge no longer sits on top of the AI assistant button in the corner. Staff entry never needed reCAPTCHA, so the badge is gone there.
You can bring a former student into the current program year one at a time, from the more-actions menu on their profile, without running a full rollover.
A comment left on a student profile now appears right away, instead of only after refreshing the page.
The help center got a full refresh: every article rechecked against the current product, with new screenshots throughout and added images for scheduling, email templates, adding a student by hand, and the AI assistant.
When logging an event, you can now select multiple contact types at once, just like logging a contact. One contact is recorded per type for every attendee.
